How GTA Accounting Helps eBay Sellers

Many eBay businesses start as a clear-out or a collection and grow into steady reselling. Along the way, two numbers are easy to get wrong. The first is the fee: eBay's final value fee is charged on the whole sale, including shipping and the sales tax eBay collects from the buyer, so it's larger than it looks against the item price. The second is the cost: what you paid at an estate sale, an auction or for a wholesale lot forms part of your cost basis, and it's often not written down anywhere. If that cost is missing, the margin reported on the sale is wrong.

We get both right, along with promoted listing charges, shipping labels and refunds, and keep the tax eBay handled separate from your own.

How GTA Accounting Helps eBay Sellers

eBay Bookkeeping & Payout Reconciliation

Bookkeeping that starts from eBay's order and transaction reports.

Payout Reconciliation

Payout Reconciliation

eBay deducts its fees and selling costs before it pays you, on the schedule you choose. Using the transaction report in Seller Hub, we split each payout back into sales, final value and per-order fees, promoted listing charges, labels, refunds and tax, and tie it to the deposit. Where your volume justifies it, A2X carries that into QuickBooks Online or Xero.

Inventory and Cost of Goods Sold

Inventory and Cost of Goods Sold

Whether you source inventory, resell, or sell collectibles, we track what each item cost you, including freight and fees to acquire it, and match it to what sold. That gives you a real margin by item and category, and the right cost of goods on your return.

Sales Tax eBay Collects

Sales Tax eBay Collects

eBay's policy is to collect GST/HST, and QST or PST where they apply, from Canadian buyers on sales within Canada, and remit it, whether or not the seller is registered. We use eBay's tax reports to keep that tax separate in your books. If you're registered for GST/HST, for example because you sell through other channels, we confirm how the sales eBay collected tax on should be reported on your return before we prepare it, and claim input tax credits on your costs.

Year-End and Income Tax

Year-End and Income Tax

We determine whether your eBay selling is business income, and prepare T2125 statements for sole proprietors or T2 returns for corporations, reconciled to the annual sales report eBay sends to CRA.

Accounting for Canadian eBay Sellers Selling to the US

Accounting for Canadian eBay Sellers Selling to the US

When your buyer is in the US, eBay usually collects the sales tax and you ship from Canada, so the US side is mostly about recording those sales, and the tax eBay took, correctly.

US Sales Tax

eBay handles US sales tax itself on orders to buyers in states that require marketplaces to collect it. Those amounts never become your revenue. Sales through your own website can create a collection obligation of your own. Whether eBay marketplace sales also count toward a state's economic-nexus threshold depends on that state's rules. We keep track of both.

US Income Tax and Form 1099-K

Mailing items to US buyers from Canada doesn't, by itself, create US income tax. If a platform sends you a Form 1099-K anyway, we find out why it was issued; the income still belongs on your Canadian return, once.

Accounting for US eBay Sellers Selling to Canada

As a US seller, your Canadian sales usually go out as parcels from the US, and the GST/HST and any duty on them is generally collected at the border. You usually don't need to register if you don't carry on business in Canada. That changes if you start holding stock here or selling to Canadian buyers through other channels; then we assess whether you need to register and what Canada expects you to file.

Hire an eBay Accountant: How We Get Started

For eBay sellers, the key question is often when a side activity became a business. That decides how the income is taxed and which costs you can claim. Whether you need to register for GST/HST is a separate test, based on your taxable sales across all channels. Both are easier to answer with your sales and costs in front of us than after the year has closed, and we set up the books around the answers.

1. Payout history

Everything eBay has paid you since your last return was filed.

2. Cost basis

What your stock on hand and the items already sold cost you, rebuilt from receipts where needed.

3. Tax position

Whether you're registered, and how eBay's tax collection fits around that.

4. Ongoing

Payouts reconciled as they arrive, returns filed on schedule.

eBay Seller Accounting FAQs

What do you need from me to start my eBay bookkeeping?

Access to your eBay Seller Hub reports (payouts, transactions and orders, including the tax eBay collected), statements for the bank account eBay pays into, and whatever records you have of what your items cost. If you've filed returns before, we'll need those too. Gaps in the records are listed during our first review.

Can you keep sales to Canadian and US buyers in the same books?

Yes. One set of books covers all your eBay activity. Each sale keeps its own tax treatment: Canadian sales tax eBay collected, US sales tax eBay collected, and any currency conversion recorded consistently, so one year-end reconciles to everything eBay reports.

My past eBay bookkeeping is incomplete or inconsistent. Can you still help?

Yes. We rebuild the history from eBay's own payout and order records and your bank statements, then check what was reported on past returns. Where item costs can't be supported by records, we tell you before anything is filed, and we prepare corrections where earlier returns were wrong.

Do you work with resellers and collectibles sellers, or only established stores?

Both. We scope the work from your payout history: the number of transactions, any GST/HST registration, the other channels you sell through, and how complete your cost records are. The size or age of the business doesn't decide it on its own.

Do we need to meet in person?

No. You share eBay reports and records online, and we meet by phone or video. If you'd rather come in, our offices are in Toronto and Mississauga.
