Accounting for Etsy Sellers in Canada
Our CPAs work with Etsy makers, vintage sellers and small studios across Canada, including businesses selling to US buyers. We reconcile Etsy Payments, track materials and inventory costs, and handle bookkeeping, GST/HST and year-end tax filings. We also support US-based Etsy sellers with Canadian obligations.

Contact UsEtsy Bookkeeping & Payment Reconciliation
Whether your shop needs a monthly close or a clean year-end, the work starts from Etsy's own records, not from your bank statement.

Etsy Payments Reconciliation
Etsy pays its own fees out of your sales first, can hold a share of new sales in a reserve for up to 45 days, and charges Offsite Ads only on orders an ad brought in. So a single deposit can mix this week's sales with last month's released reserve. We untangle each one from your monthly Etsy statement and order records. The sales tax Etsy remits never appears in your Payment account, so we bring it in from Etsy's tax records and keep it out of your income. Busier shops get a connector such as A2X feeding QuickBooks Online or Xero; a smaller shop often doesn't need one.

Materials, Inventory and Cost of Goods Sold
For makers, we cost each product from what goes into it: materials, packaging and any paid production help, with unused supplies carried as inventory instead of written off the day you buy them. For vintage and resale shops, each piece carries what you paid to source it. Your margin is then real by product, and your cost of goods at year-end is one you can support.

GST/HST, PST and Your Etsy Tax Settings
Etsy collects GST/HST from Canadian buyers only while you have no GST/HST number on file. Once you add one, Etsy stops, and charging and remitting it becomes your job, while Etsy keeps collecting BC, Saskatchewan and Manitoba PST. We time your registration, update your Etsy tax settings and prices to match, file your returns, and claim input tax credits on the GST/HST Etsy charges on its fees.

Year-End and Income Tax
Most Etsy makers start as sole proprietors, so the return is a T2125 filed with your personal return, including business-use-of-home expenses where your home studio qualifies. Incorporated studios file a T2. Either way, we reconcile it to the annual report Etsy sends to CRA. Incorporation usually comes up once profit is steady, and we'll tell you when it's worth a look.

Accounting for Canadian Etsy Sellers Selling to the US
If you sell to US buyers, Etsy handles most of the US mechanics itself, so the work here is mainly on your Canadian side: recording US sales and the tax Etsy took correctly, and pricing around currency. Shipping finished pieces from your Canadian studio doesn't, on its own, create US income tax.
Hire an Etsy Accountant: How We Get Started
The decisions that shape an Etsy shop's tax come early: when to register for GST/HST, how to price once you do, whether to list in USD, and whether incorporating is worth considering. We help you make them with your own numbers in front of you, and handle the bookkeeping and filings that follow.
1. Your statements first
We review your Etsy monthly statements, tax invoices and material receipts to see where the books stand.
2. One costing method
We agree how materials and production costs are assigned to what you sell, so every period is done the same way.
3. Your tax position
Registered or not, which provinces apply, and whether your Etsy tax settings match.
4. Kept current
Monthly or at year-end, depending on how busy the shop is.

eBay Seller Accounting FAQs
Which Etsy records should I pull together before we start?
Your monthly statements and an orders download from Shop Manager, the invoices Etsy issues for the tax it charged on its fees, statements for the bank account Etsy pays into, and whatever receipts you have for materials and supplies. Anything missing is identified during the initial review.
I also sell at craft fairs, markets or on my own website. Can that go in the same books?
Yes. In-person sales through Square or a similar reader, your own website and Etsy are all one business, so they belong in the same books and on the same returns. The sales tax treatment of each channel is kept separate, because Etsy may have collected tax on some sales and you on others.
I haven't kept track of my material costs. Can you still help?
Yes. We usually rebuild it product by product: what goes into one finished piece, priced from your supplier receipts and card statements, then applied to your Etsy sales history. That gives you a supportable cost of goods for past years, and a costing you can keep using.
Should I register for GST/HST before I have to?
Sometimes it's worth it. Registering lets you claim back the GST/HST on your materials and Etsy's fees, but you then charge it to Canadian buyers and file returns. We compare the two using your actual sales and costs before you decide.
Is my shop too small for an accountant?
Not necessarily. What sets the level of help is how much is going on: how many orders you handle, whether you're registered for GST/HST or a provincial tax, how many places you sell, and how complete your records are. A shop with steady, well-kept records may only need its annual return; a busier or more complex one benefits from regular bookkeeping. We'll suggest a level once we've seen your statements.
